How to Track Venues and Manage Bookings

Choosing a venue sets the tone for everything that follows - layout, capacity, catering, AV, and budget. But the process of finding, comparing, and booking venues usually involves scattered emails, site visit notes on napkins, and a spreadsheet that was outdated a week ago. Ripluo's venue management tool brings structure to the process so you can track every venue from initial research to signed contract.

This tutorial covers building your venue database, managing the booking pipeline, logging communications, and handling multi-venue and multi-room events.

Step 1: Build Your Venue Database

From your event, click Venues in the left sidebar to open the venue management tool. Click "Add Venue" to create your first record.

Each venue record includes:

  • Venue Name and Address
  • Capacity - Maximum headcount
  • Notes - Site visit observations, pros and cons, amenities, client preferences

When you create a booking record for a venue, you can also add:

  • Contact Name, Email, and Phone - Your point of contact at the venue
  • Estimated Cost - The expected rental fee

Add every venue you are considering, even if it is just a maybe. Having them all in one place makes comparison easier and builds your database for future events.

Step 2: Track Venues Through the Booking Pipeline

The venue booking pipeline tracks where each venue stands in your decision process. Stages include:

  • Researching - Gathering information, checking availability
  • Contacted - You have reached out to the venue
  • Proposal Received - Venue has sent pricing and terms
  • Negotiating - Discussing pricing, dates, or terms
  • Contract Sent - Agreement has been sent for review
  • Booked - Contract signed, deposit paid
  • Cancelled - Venue booking was cancelled

Move venues between stages as you progress. The pipeline gives your client or team a clear picture of where the venue decision stands without a status meeting.

Step 3: Log Communications

Every call, email, and site visit should be documented. On each venue record, you can log communication entries with a date, type (call, email, site visit, meeting), and notes about what was discussed.

This creates a timeline of your interactions with each venue. When your client asks "What did the Hilton say about a Saturday discount?" you can pull it up in seconds instead of searching through months of emails.

Step 4: Manage Multiple Venues per Event

Some events span multiple locations - a welcome reception at one venue, the main conference at another, and a closing dinner at a third. Ripluo lets you track multiple venues within a single event, each with its own record, pipeline status, and communication history.

This is also useful for events where different activities happen at different locations on the same day. A charity 5K might use a park for the race, a hotel for the after-party, and a community center for volunteer staging. Each venue has its own record with relevant details.

Step 5: Manage Rooms for Your Event

For conferences, galas, and other large events, a single venue might have multiple rooms you need to manage - a main ballroom, breakout rooms, a green room, a registration area, and a vendor exhibition hall.

Rooms are managed at the event level, not within the venue record itself. From your event dashboard, you can add rooms and assign them details like capacity, configuration, and notes. This is especially helpful for conference planners who need to assign sessions to rooms and ensure each room has the right setup.

Frequently Asked Questions

Can I reuse venue records across different events?

Yes. Venues you have worked with before can be added to new events, carrying over their contact information and your past notes. This makes rebooking venues you have used before much faster.

Can I compare venues side by side?

Yes. With multiple venues in your pipeline, you can compare capacity, estimated costs, and notes to make an informed recommendation to your client.

Does the venue tool integrate with the budget?

Yes. Once a venue is booked, you can link the rental cost to a line item in your event budget for accurate financial tracking.
