How to Book Speakers and Manage Travel Logistics

Step 1: Set Up Your Speaker Pipeline
From your event, click Speakers in the left sidebar to open the speaker management tool. You will see a pipeline view with stages that represent where each speaker is in the booking process.
Default stages include:
- Prospecting - Speakers you are considering or researching
- Invited - Outreach has been sent
- Negotiating - Discussing terms, fees, or logistics
- Confirmed - Verbally or contractually committed
- Logistics Complete - Travel, hotel, and AV all finalized
You can customize these stages to match your workflow. Speaker pipeline stages are being expanded - additional stages and customization options will be available in upcoming updates.
Step 2: Add Speakers to the Pipeline
Click "Add Speaker" and enter their details:
- Name and Bio - Who they are and their speaking credentials
- Topic - What they will speak about (keynote, panel, workshop, etc.)
- Fee - Their speaking fee, if applicable
- Status - Which pipeline stage they are in
- Priority - High, Medium, or Low to help you focus outreach
As you work through your outreach, drag speakers between pipeline stages or update their status from their detail view. The pipeline gives you a visual snapshot of where every speaker stands at any moment.
Step 3: Manage Multiple Contacts per Speaker
High-profile speakers often have multiple points of contact - the speaker themselves, their agent, their assistant, and sometimes a speaking bureau. Ripluo lets you add multiple contacts to a single speaker record so you always know who to reach out to for what.
Each contact includes name, email, phone, role, and notes. You might communicate with the agent about fees, the assistant about travel, and the speaker directly about content. Having all contacts in one place means no one falls through the cracks.
Step 4: Collect Travel Preferences

- Hotel preferences - Preferred hotel, room type (standard, suite, or accessible), hotel chain, and hotel account number
- Ground transportation - Ground transport needs, rental car company, and rental car account number
- Dietary and accessibility - Meal preference, dietary restrictions, and accessibility needs
- Emergency and additional info - Emergency contact and additional notes
The form link is sent to the speaker (or their assistant), and responses flow directly into their speaker record. No back-and-forth emails asking for the same information you forgot to write down.
Step 5: Track Logistics Status
With travel preferences collected, you can track the status of each logistical item. Each speaker record shows a logistics checklist:
- Flight booked? (Yes/No with details)
- Hotel booked? (Yes/No with confirmation number)
- Ground transport arranged?
- AV confirmed?
- Contract signed?
This checklist view lets you filter for speakers whose logistics are incomplete - so two weeks before your conference, you can quickly see that three speakers still need hotel bookings and one has not submitted their presentation.
Step 6: Schedule Follow-Ups
Speaker management involves a lot of follow-up. The invited speaker who has not responded in a week. The confirmed speaker who has not submitted travel preferences. The keynote whose slide deck is due tomorrow.
