How to Create Templates and Export PDFs

Step 1: Build a Complete Event

Before you can save a template, you need an event worth saving. Build out your event with all the components you want to reuse:

  • Schedules - Your run of show with moments, durations, and descriptions
  • Checklists - Task lists with categories, descriptions, and priority levels
  • Budget categories - Line item categories with estimated costs

The more complete your event is, the more useful the template will be. Think of it as creating the "gold standard" version of a particular event type.

Step 2: Save the Event as a Template

Go to your event's Settings and click "Save as Template." Give the template a descriptive name - something like "200-Person Fundraiser Gala" or "Corporate Quarterly Offsite" - so you can identify it later.

In the Save as Template window, you choose which components to include - schedules, checklists, budget categories, or any combination. Ripluo captures:

What is saved in an event template?

Templates capture schedules (with all moments, headers, team instructions, breakout sessions, and custom fields), checklists (with tasks and categories), and budget categories with estimated amounts. Can I edit a template after saving it?

Can I share templates with my team?

Templates are available to everyone in your organization based on their permissions. If a team member has permission to create events, they can use any template in the library.

Can I export a PDF that combines multiple schedules?

Each schedule exports as its own PDF. If your event has separate setup, main event, and teardown schedules, you will export each one individually. This actually works in your favor because different teams often need different schedules.
